Reminder to Agents: Letter of Authorisation Required for All Trade Document Applications

When applying for a UK Certificate of Origin (COO), EUR1 Movement Certificate, and other trade documents on behalf of an exporter, it is essential that agents follow the correct documentation procedures to avoid delays or rejection of applications.

We would like to remind all agents that a valid Letter of Authorisation (LOA) must be uploaded each time an application is submitted. This requirement applies not only to UK Certificates of Origin and EUR1 but also when agents request attestation of invoices and any other trade-related documents on behalf of an exporter.

Even if you regularly submit applications for the same exporter, the LOA is required for every individual application.

Why is this important?

The Letter of Authorisation serves as formal confirmation that the exporter has granted permission for an agent to act on their behalf. This is a key compliance requirement and helps ensure:

  • The authenticity and integrity of all submitted documents

  • Protection for exporters against unauthorised applications

  • Compliance with UK Chamber and international trade regulations

Applications submitted without the required LOA may be delayed while further evidence is requested, or in some cases, rejected entirely.

What agents should do

To ensure a smooth and efficient application process, please:

  • Obtain a signed and valid Letter of Authorisation from the exporter

  • Upload the LOA each time you submit an application for:

  • UK Certificates of Origin or EUR1 Movement Certificate

  • Invoice attestations

  • Any other trade-related documents

  • Ensure the details on the LOA match the exporter and agent information on the application

If you require a template Letter of Authorisation, please contact our Export Documentation team and we will be happy to provide one.

To help exporters and agents stay compliant and confident with documentation requirements, we are running an upcoming workshop covering UK Certificates of Origin and EUR1 movement certificates
